Missed-call revenue calculator
Missed-call revenue equals monthly calls times the unanswered share, times the share that could become a booking, times the booking rate, times the value of that booking. Not every missed call is a lost customer. The calculator keeps those discounts visible, with presets for dental, HVAC and trades, med spa, legal intake, fitness, and parking.
Pick an industry or enter your own call volume. The result is the bookings those missed calls could have been, the revenue attached to them, and how fast that revenue covers a build.

Single-location agents are often $3,000 to $12,000.

16.0 bookings a month sit in the missed calls, about $230,400 a year. The build pays back in under 1 month.

How the number is calculated
- Missed calls = calls per month × the share that ring out, hit voicemail, or hang up in queue.
- Recoverable bookings = missed calls × the share that were real booking attempts × the share you book when someone answers.
- Monthly leaked revenue = recoverable bookings × the value of one booked job or patient. Annual leaked revenue is that figure times 12.
- Payback months = one-time build cost ÷ monthly leaked revenue.
- Bookings per month that cover the build inside a year = (build cost ÷ 12) ÷ job value.

Questions this calculator answers
How do you calculate the cost of missed calls?+
Multiply monthly calls by the unanswered share, then by the share that could have booked, then by your booking rate when a call is answered, then by the value of that booking. A 400-call dental month at a 20% miss rate is not 80 new patients. After a bookable share and a booking rate, it is a much smaller count, and that smaller count is the honest one.
What is a realistic missed-call rate?+
Use the phone system's abandoned and voicemail count, not a blog average. The presets are worked examples: 20% for a dental office, 35% for a trades shop that is on a job, lower for a line that is staffed all day. Replace them with your logs.
Does this include after-hours calls only?+
No. Enter all inbound calls, or only after-hours calls, and set the miss rate to match that set. After-hours coverage is the usual reason the miss rate is high. What an after-hours agent books is covered in after-hours AI receptionist.
What build cost should I enter?+
A single-location inbound agent at KeenCraft is typically $3,000 to $12,000, and a multi-location build with CRM integration is typically $12,000 to $30,000. The $8,000 dental preset sits inside the single-location range. Running the agent is separate, usually about $0.07 to $0.15 per call minute, which this revenue figure does not subtract.
